Operations Specialist - Mail Room

Responsible for providing various support functions including, but not limited to incoming mail processing, check handling, and limited facility duties. The Operations Specialist is responsible ensuring that the daily incoming is handled within the firm’s compliance requirements by utilizing the firm’s proprietary software and sophisticated mailing equipment. The representative will also produce/notarize affidavits, daily production reports, and handle escalation as needed. Incoming mail must be sorted, scanned, and sent to the appropriate department daily. This candidate must work full-time out of our San Diego, CA office.

Specific Duties & Responsibilities

•Assist with visitors/check-in
•Scan incoming mail
•Escort vendors around facility
•Receive, route, and log FedEx, UPS, and USPS
•Check logging and routing
•Send/Receive faxes
•Review and sign affidavits of mailing (firm can provide notary training)
•Review and respond to client requests in a professional and timely manner
•Communicate with team members and clients regarding inquiries related to outgoing mail and affidavits
•Review and understand foreclosure basics
•Review incoming mail and determine the relevant department
•Scanning documents and emailing to appropriate teams
•Answer telephone, screen and direct calls
•Provide foreclosure related information to callers
•Review and respond to client requests in a professional and timely manner
•Review and understand foreclosure dockets
•Reply or forward general customer service emails
•Required Hours – 9:00am to 6:00pm

Job Requirements

•College required
•Office/Administrative experience required
•Excel, Word, Telephone, Outlook, and Case Management System knowledge
